Monday, 8 a.m. Your salesperson opens the CRM and has 60 new leads from the weekend. Where does she start? Usually, at the top. But the one at the top only asked “how much is it?” and never wrote again, while number 47 visited the pricing page three times, opened both emails and asked for a formal quote.

By the time the salesperson gets to 47, they already bought somewhere else. Lead scoring exists so that 47 shows up first.

What is lead scoring?

It is assigning a numerical score to each prospect based on their data and interaction, to serve first those most ready to buy. According to Zoho CRM's help, scoring rules assign a value to prospects based on their response across different touchpoints, such as calls, emails, surveys, social media or campaigns; a higher score indicates a sales-ready prospect.

How is the score calculated?

By adding and subtracting points for two types of signals:

Watch out: the points in the table are an example to understand the logic. Each business must define its own rules based on what, in its sales history, truly predicts a purchase.

How does it work in Zoho CRM?

With scoring rules set up without coding. According to Zoho's documentation:

  • They can be configured for leads, contacts, accounts, deals and custom modules.
  • Each layout supports up to ten rules, of which five can be active.
  • Rules can add or subtract points based on field criteria.
  • Touchpoint scores apply to leads and contacts, which is where interaction happens.
  • Zoho calculates positive, negative, touchpoint and total scores.

How do I design rules that actually work?

  1. Review your latest sales: what did those customers have in common before buying?
  2. Start with a few rules: three or four strong signals are worth more than twenty weak ones.
  3. Include negative points: what tells you someone will not buy is also information.
  4. Set a threshold: above a certain score, the lead goes to a salesperson or gets a task.
  5. Review every month: compare scores with real sales and adjust.

Common mistake: scoring everything that can be measured. If a social media “like” is worth the same as asking for a quote, the score stops meaning anything.

What do I do with high-scoring leads?

Serve them first and fast. You can automate it so that a lead above the threshold creates a task, an alert to the salesperson or a WhatsApp message.
