What a CRM is and how to know if your business already needs one
A CRM brings contacts, conversations and sales together in one place so nobody gets lost. What it is, what it does and the signs your business already needs one.
Your star salesperson quits on a Friday. On Monday you discover that everything they knew about customers (who was about to buy, who needed a call, what discount was promised to whom) lived on their phone and in their head. It left with them.
That scene repeats in thousands of businesses, and it has a solution with a name: a CRM. Here we explain what it is, without jargon, and how to know if your business already needs one.
What is a CRM?
CRM stands for Customer Relationship Management: a company's effort to understand, manage and serve its prospects and customers. According to Zoho, a CRM system captures each customer's key information and builds a complete view, so anyone working with them has the context and makes better decisions.
In practice, it is the place where everything you know about each customer lives: who they are, what they have written to you, what you offered them, which stage they are in and what comes next.

What does a CRM do day to day?
| Without a CRM | With a CRM |
|---|---|
| Contacts are on phones, in emails and in Excel | All contacts in one place |
| Nobody knows what was discussed with the customer | The conversation history is visible |
| Follow-ups depend on memory | The system tells you who to call today |
| You do not know how much you will sell this month | You see the pipeline and the value of each stage |
| If someone quits, they take the customers with them | The information stays with the company |
What are the signs that I already need a CRM?
If you identify with two or more, you already need one:
- Forgotten customers: people who asked and nobody wrote back.
- Several versions of the truth: three different Excel files with data that does not match.
- Dependence on one person: if the salesperson is out, nobody knows what is happening with their customers.
- You do not know where your sales come from: whether it was the ad, Instagram or a referral.
- Your team answers the same thing over and over with no way to automate it.
Common mistake: waiting until you “have more customers” to implement a CRM. It is the opposite: the CRM is what lets you serve more customers without them slipping away. Starting small and organized is much cheaper than migrating the chaos later.

Which CRM should I choose?
The one that fits how your team sells. There is no best CRM in the abstract:
- You sell on WhatsApp and Instagram: Kommo is built around chat. See how to organize your pipeline in Kommo.
- You have processes across several departments: Zoho CRM. We compare them in Zoho CRM or Kommo.
- You are a small team: Zoho Bigin.
- You need inventory and accounting connected: an ERP like Odoo.
Watch out: a CRM stores your customers' personal data. In Colombia that means complying with Law 1581 on data protection: consent, a clear purpose and protected data.
In short
A CRM is your company's memory: it brings contacts, conversations and sales together in one place so no customer depends on one person's head or phone. If you have forgotten customers or several Excel files that do not match, you already need one. That way, the day someone quits, their customers stay with you. As a certified partner, we implement it in our Kommo CRM service.
Frequently asked questions
What does CRM stand for?
CRM stands for Customer Relationship Management.
Can an Excel sheet replace a CRM?
At first, yes, but an Excel sheet does not record conversations, remind you of follow-ups or show the full history. When the team or the volume grows, it falls short.
How long does it take to implement a CRM?
It depends on the CRM and the process. A simple one can be up and running in a few weeks; one with complex processes and integrations takes longer.
Which CRM is right for me?
If you sell through chat, Kommo; if you have processes across several departments, Zoho CRM; if you are a small team, Zoho Bigin. We explain it in detail in our guides.
Do not stop at the theory: apply it to your business
