Respond fast to your leads: why the first minutes decide the sale

Why lead response speed changes the sale, which WhatsApp rules work against you if you take too long and how to reply within minutes with automation.

On a Saturday at 8 p.m., someone sees your ad, leaves their details and writes “how much does it cost?”. Your team is back on Monday. By then, that person already asked in two other places and one replied in five minutes. You did not lose on price or quality: you lost on the clock.

Why does speed matter so much?

Because a lead’s interest is short-lived: if they get no reply while they are still thinking about you, they go cold or buy from someone else. Whoever fills in a form or sends a message is at the moment of decision. Hours later they are on to something else.

It is not a hunch. The research The Short Life of Online Sales Leads, published in Harvard Business Review, concluded that most companies do not respond to their online leads fast enough. The title says it all: leads have a short life.

Which WhatsApp rules work against you if you take too long?

On WhatsApp, taking more than 24 hours closes the free conversation: after that you can only write with approved templates. According to Meta’s documentation, when a customer writes to you a 24-hour service window starts, and it resets with each message from them. If it closes, you can no longer send a normal message.

If the lead came from a click-to-WhatsApp ad, Meta’s pricing page states there is a 72-hour window in which messages are free, including templates. Wasting it means paying later for something that could have been free. We detail it in click-to-WhatsApp ads and the 72-hour window.

Common mistake: paying for ads to bring in messages and leaving them on a phone nobody checks on the weekend. The ad brings the lead; speed is what converts it.

How do you reply within minutes without a huge team?

With three pieces: an automatic first reply, immediate assignment to an advisor and scheduled follow ups. It is not about having people awake all night.

PieceWhat it doesWhen it acts
First replyConfirms you got the message and asks a useful questionWithin seconds, at any time
AI assistantAnswers frequent questions, qualifies and booksAfter hours or during message peaks
AssignmentPuts the conversation under an advisor’s nameAs soon as the lead comes in
Follow-upPicks back up the lead who did not replyAt the hours or days you set
Internal noticeTells the advisor they have a new leadRight away

A good first reply is not “thanks for writing to us”. It is something like: “Hi, thanks for writing. Is the service for you or for your company? An advisor will confirm the price in the next few minutes”. That way you already start qualifying.

For the AI to answer well, the key is its instructions, as we explain in how to write your AI agent’s instructions.

How do I know which leads to handle first?

With a clear order: first those who arrived most recently and those who show the most purchase intent. A lead asking about price and availability goes before one who only gave a “like”. That prioritization can be automated with scores, as we explain in lead scoring.

How do I measure whether I am replying fast?

By measuring the time between the customer’s first message and a person’s first reply, by advisor and by channel. If messages live on different phones, that data does not exist. With an inbox connected to the CRM it does, as we explain in unified inbox.

Review that number every week alongside closed sales. If response time drops and sales do not go up, the problem is the message or the offer, not the speed.

What does TMV One do here?

TMV One brings the five pieces together in one system: first reply, AI assistant, assignment, follow ups and team notices. Every lead comes in with its source, lands in the pipeline with an owner and, if it does not reply, a follow up picks it back up.

In short

The Saturday 8 p.m. lead did not need someone to be awake: it needed a useful reply within minutes and an advisor to pick it up early. Replying fast is not a luxury, it is the difference between the sale and silence.

Frequently asked questions

How fast should I respond to a lead?

As soon as possible, ideally while the person is still looking at their phone or on your website. The practical approach is an automatic first reply within seconds and an advisor within the next few minutes.

What happens if I reply to a WhatsApp message after 24 hours?

According to Meta, the service window lasts 24 hours from the customer’s last message. Once it closes, you can only send approved templates.

Doesn’t an automatic reply feel cold?

It depends on what it says. A reply that confirms you got the message, asks a useful question and says when a person will follow up works better than silence.

How do I measure my response time?

With a conversations inbox or a CRM that records the arrival time of each message and of the first reply, by advisor and by channel.
