What the WhatsApp Business API is and who it is for
The WhatsApp Business API is Meta’s official platform for companies: multiple agents, CRM, automation and AI. How it works, what it costs and its rules.
A dental clinic in Medellín received 300 messages a day on a single phone, passed from hand to hand among three receptionists. Nobody knew who had answered whom. The day they connected the WhatsApp API, every chat started arriving in their CRM with a name, an agent and the appointment status.
That is the difference between using WhatsApp and operating with WhatsApp.
What is the WhatsApp Business API?
The WhatsApp Business API is Meta’s official platform for companies to use WhatsApp at scale, connected to their own systems. Meta calls it the WhatsApp Business Platform: a set of APIs and tools designed for medium and large companies.
It isn’t an app you download. It is implemented by a development team or a provider, and your team uses it from a CRM, a customer service inbox or an AI agent.

What can the API do that the app can’t?
The API allows multiple numbers, many agents and bots at the same time, and connection with CRM and other systems. According to WhatsApp’s official comparison, it can connect thousands of agents and bots with customers. In practice:
- Distribute chats among agents and measure response times.
- Log every conversation in the CRM with its sales opportunity.
- Automate with flows, interactive buttons and AI agents.
- Send notifications: order confirmations, shipping updates and appointment reminders.
- Show products and take orders without the customer leaving WhatsApp.

How much does the WhatsApp API cost?
Meta charges per delivered message since July 1, 2025, based on the message category and the customer’s country. Messages customers send you are free. The categories, according to Meta’s pricing page, are:
| Category | What it is used for |
|---|---|
| Marketing | Promotions, offers and news |
| Utility | Follow-up on something the customer requested: order, shipping, appointment |
| Authentication | One-time verification codes |
| Service | Replies within the 24-hour window |
Since October 1, 2026, service messages are also charged after the first 1,000 per month per number, according to Meta’s announcement. We cover it in detail in service messages are charged starting October.

What rules does the WhatsApp API have?
The three rules that matter most are the 24-hour window, approved templates and consent.
- 24-hour window: when a customer writes to you, you can reply freely for 24 hours.
- Templates: to message first or outside that window you need a template approved by Meta. We explain it in marketing, utility and authentication templates.
- Consent and limits: you can only message people who agreed to receive your messages, and Meta limits how many different people you contact in 24 hours. According to Meta’s messaging limits, a new portfolio starts at 250 and can rise to 2,000, 10,000, 100,000 or unlimited. More detail in WhatsApp bulk campaigns without getting blocked.
Important: the official API is not the same as unofficial tools that “connect” WhatsApp by scanning a QR code. Those tools are not authorized by Meta and put your number at risk.
What do you need to use the API?
You need a business portfolio on Meta, a phone number for the API and a provider or development to connect it. To grow your limits, it also helps to verify your business on Meta.
If the number is already in the WhatsApp Business app and you don’t want to leave it, coexistence connects it to the API without removing it from your phone. In short
The WhatsApp Business API turns a chat into an operation: multiple agents, everything logged in the CRM and automation with clear rules from Meta. The Medellín clinic didn’t get more messages after connecting it; it simply stopped losing them.
