WhatsApp group, community or channel: which to use to sell

Differences between WhatsApp groups, communities and channels, with their official limits, and how to turn a community into your main sales channel.

Andrea has a clothing store in Medellín. One day she opened a WhatsApp group for her customers and in two weeks she had 400 people. A month later, the group was chaos: chain messages, repeated questions, someone promoting another store and Friday's promotion buried under a hundred messages. Then she created a channel, but there nobody could write to her to buy.

The problem was not WhatsApp, it was the tool. Group, community and channel look the same, but they serve different purposes, and for selling one of the three works much better.

What is the difference between a group, a community and a channel?

A group is a conversation where everyone talks, a channel is a loudspeaker where only the admin talks, and a community brings several groups together with an announcement space only the admin controls. This is what WhatsApp's official help center says:

The community limits come from the official page how to create a community: up to 100 groups and up to 2000 members, counting the subgroups and the announcement group. The 1024 limit per group appears in the explanation of the community general chat.

Why doesn't a group work as a sales channel?

Because in a group everyone talks at the same time, and your offer competes with every message. A group works well for talking with a few people who know each other, like your team or the customers on one project. For selling to hundreds of customers it has three problems: announcements get lost among conversations, any member can post whatever they want, and moderating becomes a full-time job.

Common mistake: putting all your customers in one group “to keep them close”. With a hundred people writing, the promotion you care about gets buried, and nobody writes to you privately to buy it.

And a channel? Isn't it the same but organized?

A channel is organized, but it does not converse: it helps people discover you, not close sales. According to WhatsApp's help center on channels, updates appear in a separate tab (Updates), notifications are muted by default and followers cannot reply or write to the admins. They can only react with emojis or vote in polls.

In addition, when introducing channels, WhatsApp explained that the admin's phone number is not shown to followers and that channel history is stored on its servers for up to 30 days. It is a good shop window for many people, but your customer has no way to raise their hand and say “I want it”.

Why is the community the best sales channel?

Because it combines the best of both: an announcement space only you control and groups where you can talk with each type of customer. According to the help page on the announcement group, all members are in that group, only admins can send announcements, and members can react, reply and vote in polls. In addition, each member only sees the total number of members; who they are, only the admins can see.

For selling, that translates into:

  • Your offers do not get lost: the announcement group only has your messages.
  • You measure interest: reactions, replies and votes tell you which product moves your people.
  • You segment: you can have groups for wholesalers, frequent customers or a city, within the same community.
  • You protect your customers' privacy: in the announcement group nobody sees the list of other members.

How do I build a community that sells?

  1. Define the structure: an announcement group for launches and offers, and a few groups by type of customer (for example, wholesalers and frequent customers). More groups is not better.

  3. Post with rhythm, not daily: two or three announcements a week with one clear offer. Plan them as in an editorial calendar.
  4. Use polls before launching: ask what they want and launch what gets the most votes.
  5. Close the sale in private: each announcement ends with an invitation to write to you on WhatsApp, where you show the product with your WhatsApp Business catalog and record the order.

Watch out: WhatsApp's official help center says that, for now, it is not possible to create a community from the WhatsApp Business app. Before creating it, decide which WhatsApp number you will manage it with and make clear in each announcement which business number people should write to in order to buy.

What do I do when the community fills up?

When you reach 2000 members, WhatsApp does not let you add more people until someone leaves. That is good news: it means you have your own customer base. At that point it makes sense to open a second community by segment or by city, and use a channel as a public shop window that invites people to the communities.
